1. Who we are
Tables Flow (operator legal name TBD) provides Tables Flow, a software platform that lets restaurants take table and pickup orders by QR code. Tables Flow is not a restaurant: it does not prepare, handle, sell or serve food.
2. Restaurants are the food operator
- Each restaurant is responsible for its food, food safety, allergen information, prices, taxes, service and compliance with provincial and municipal food-premises rules.
- Merchants must hold and keep valid a food-premises / business licence for each location and attest to this at signup. Tables Flow checks the uploaded licence before a location goes live but does not guarantee it.
- Allergen notes are supplied by the restaurant. If you have an allergy, confirm with restaurant staff before eating.
3. Prices, taxes and tips
- Prices are in Canadian dollars. Applicable sales taxes are extra.
- TablesFlow charges diners no platform, service or booking fees. You pay the restaurant directly at its own terminal or counter (or with your server); TablesFlow never takes diner payments or card details. Totals shown in the app are estimates; the restaurant's bill is final.
- When you choose "Be served", a tip is suggested (18% by default). The tip is optional; you can change it or set it to 0% before placing your order, and it is shown separately from the price of your food. "Self-serve" orders have no tip.
4. Restaurant subscription (merchants)
- TablesFlow is paid by a flat monthly subscription per restaurant location. TablesFlow charges no commission and no per-order or per-transaction fees, and never charges diners any fee.
- Price: CA$200 for the first month, then CA$100 per month (Canadian dollars), plus applicable tax. The first invoice is the CA$100 monthly subscription plus a one-time CA$100 first-month fee; every renewal is CA$100. The first-month fee is charged once per restaurant: a restaurant that cancels and later resubscribes pays CA$100 per month from its new first invoice. The price is the same for every restaurant regardless of how many restaurants use TablesFlow.
- Prices exclude taxes. Applicable GST/HST (and QST where applicable) will be added once TablesFlow is registered to collect it (draft; see accountant review).
- Starting: a restaurant can subscribe once it has been approved. There is no free trial. Service (diner QR ordering, kitchen board, menu editing and QR printing) starts when the first month is paid. Subscriptions are sold only on the TablesFlow website, never in the mobile app.
- Paying — your choice: (a) auto-renewal: your card is charged automatically at the start of each monthly period; or (b) manual payment: an invoice for each new month is issued on the renewal date and is due that same day; you pay it on the secure payment page ("Pay now" in the merchant dashboard). You can switch between the two.
- No grace period: your subscription is paid up to the end of the paid month. If the next month is not paid when that period ends (for auto-renewal: if the charge fails; for manual payment: if the invoice is unpaid), new online orders stop at the end of the paid period: diners see that online ordering is temporarily unavailable and are asked to order with staff. There is no cut-off mid-service for orders already placed: the kitchen screen and restaurant tablet stay available with your order history, orders already placed can still be cooked and completed, and you can still edit your menu. Your menu and data are kept.
- Restoring service: pay the outstanding invoice from the Billing section of the merchant dashboard (always available). Online ordering is turned back on as soon as the payment is confirmed.
- Cancelling: you can cancel at any time (Billing section / billing portal). Cancellation takes effect at the end of the month already paid; there are no refunds for partial months (draft; subject to review, including provincial consumer-protection rules where they apply). There is no long-term contract.
- Diner payments: diners pay the restaurant directly at the restaurant's own terminal or counter. TablesFlow does not process diner payments and never handles card data. (The optional Stripe card-payment feature for diners was retired.)
- Orders paid before this subscription model took effect remain subject to the fees disclosed at the time they were paid.
- Subscription payments are processed by Stripe.
5. Merchant accounts
Merchants agree to the subscription terms in section 4, to keep their account information accurate, and to use diner information only to fulfil orders. Merchants may close their account at any time; closing deletes their data as described in the privacy policy.
6. Acceptable use
Don't misuse the service, attempt to access admin, kitchen or merchant tools without authorization, or interfere with its security.
7. Communications
We send transactional messages only. We will not send commercial electronic messages without your express opt-in consent (CASL).
8. Liability
To the extent permitted by law, the service is provided "as is". Nothing in these terms limits rights you have under provincial consumer-protection law, including Quebec's Consumer Protection Act.
9. Governing law and language
These terms are governed by the laws of the province where you reside and the federal laws of Canada that apply there. A French version will be provided; les parties ont exigé que ces conditions soient disponibles en français.
